Role Responsibilities:

  • Welcome visitors and direct them to meetings / appointments
  • Answer phones, screen and route calls to the appropriate individuals
  • Coordinate and process incoming and outgoing mail including faxes and electronic mail
  • Provide data entry assistance as required
  • Order and replenish office supplies, service office equipment, and arrange for repair servicing
  • Send monthly copier readings , filing, photocopying, faxing, and minute taking as required
  • Catering for meetings, training and special events/ Grocery Gateway point of contact
  • Responsible for office coffee / refreshments/ catering services
  • Assist in cleaning of front office space and kitchenette area
  • Maintain huddle/ weekly meeting sheet and send out weekly reminders
  • Assist Social Committee with events / work with various teams on Training/ Special events supplies etc
  • Manage WSI Sales Packages and Legal Packages process
  • Maintain Package Spreadsheet – Send weekly/monthly report to Accounting
  • Save all Disclosures to Disclosure Folder
  • Log all incoming packages
  • Administrative logistics for franchisee training: name badges/ attendance sheet/ welcome bags
  • Provide general information to clients, suppliers, staff, and public
  • Other administrative/ office duties as required

Skills/Qualifications:

  • Excellent communication and customer service skills (both listening and speaking), friendly, pleasant manner, combined with persistence
  • Previous experience in an office environment at front desk reception answering multiple lines and extensions
  • Proficient in Microsoft Office including Word, Excel, and Outlook
  • Excellent telephone manner
  • Experience with filing and data entry
  • Strong time management and organizational skills
  • Great problem solver with the ability to identify alternative solutions
  • Ability to work within a team environment and independently
  • Attention to detail and timely completion of tasks
  • Exceptional work ethic. Uses time productively, maximizes efficiency
